DRAFT 11/18/09

Technology Purchasing Procedure for the Juneau School District

Rationale:
In an effort to coordinate resources, provide efficiency in delivery, and ensure systems compatibility, the following procedure should be followed for any software, hardware, and/or infrastructure purchase in the Juneau School District that is not on the approved standards list.

Purchases for single classroom use:
Prior to ordering any software, hardware, or infrastructure equipment for single classroom use, the purchase must be approved by the following individuals:

    • Computer site technician
    • School Principal

The order followed is up to the individual School Principal. Teachers should follow the hardware standards developed by the JSD Technology Committee. Any software purchased should be in line with best-practices and/or research-based.

Purchases for School and/or Program use:
Prior to ordering any software, hardware, or infrastructure for school and/or program use, the purchase must be approved by the following individuals:

    • Computer site technician
    • School Principal
    • JSD IT Supervisor
    • JSD Technology Coordinator

The order at the school level is up to the individual School Principal. The School Principal is responsible for delivering the purchase request to the IT supervisor who will in turn deliver it to the Technology Coordinator.

Purchase requests must follow the hardware standards developed by the JSD Technology Committee. If there is a deviation from those standards, valid reasons must be communicated at every level. Software must be research-based, best-practice, implemented with fidelity, and proven to make a positive difference in student achievement or in line with existing legacy programs.

Purchases for School District and/or Curriculum Use:
Prior to ordering any software, hardware, or infrastructure equipment, the purchase request must have followed curriculum committee process with valid representation by all the appropriate stakeholders. Departments such as Administrative Services, Personnel, Maintenance and Facilities should follow their own internal processes for determining an appropriate product (whether it be hardware, software, or infrastructure equipment) such as evaluation, formal bid, and recommendation. All departments should consult with the IT Supervisor and the Technology Coordinator to ensure systems compatibility and efficiency. Programs seeking to add technology resources through the pursuit of a grant should also consult with both the IT Supervisor and the Technology Coordinator prior to submitting any application.
